HOW TO BOOK
Contact us via email to admin@czechtours.co.uk
We will then send you the detailed programme and full terms and conditions.
A deposit of £100 is payable immediately on booking, with the balance normally payable no later than 10 weeks before departure.
A confirmation invoice for the balance payment will be issued and sent out together contract, any further details and the final programme.

PRICES INCLUDE
Meals - breakfast and either lunch or dinner are included in the price (not on days of transfer from and to Prague).
Entrance - entry to all sites listed in the detailed programme unless optional
Accommodation
Travel Arrangements - we provide transport during the tour. You organise your own flights.
Tips and Gratuities
Tour Guide - a guide (usually a British guide) with local knowledge offering both historical and contemporary insights
Tour Book - sent to you in advance

Transfer to and from the airport - we can organise transfers to the hotel at an extra cost.

PRICING POLICY

All our tours are competitively priced and all cost less than £900 (based on someone sharing a room). We do sometimes give special offers, to find out the latest deals, please contact us.

Prices were calculated on the basis of known costs and exchange rates at 11th July 2011 Financial Times Guide to World Currencies . Should the cost of the holiday increases as a result of exchange rate variations, transportation costs, relevant taxes by more than 2% we reserve the right to pass on this increase to you by way of a surcharge.

NUMBERS OF PEOPLE ON THE TOUR - we need a minimum number of people to make the tours viable, the maximum number of people is 12 unless otherwise stated. In the event of the minimum not being reached, and the tour needing to be cancelled, customers will be notified no later than eight weeks before the departure date.

CANCELLATIONS - In the event of you cancelling your booking, the following scale of charges will apply when cancellation is notified by you

45 days or more £100 per person per tour
44 - 21 days before arrival 25%
20 - 14 days before arrival 50%
13 - 7 days before arrival 75%
0 - 6 days 100%

In the event of the tour not being viable and therefore we have cancel the tour as advertised we will notify you no later than eight weeks before the departure date. If you have booked your flights we will try to offer you an alternative holiday on the same dates. If this is not possible or you don't wish to take up the alternative we will refund your deposit in full.  No compensation will be payable.

PASSPORTS - you must ensure that you have valid passports and visas (if required) at the time of your holiday. Visas may be required to enter the Czech Republic. You need a passport to enter the Czech Republic. British passports holders, whose nationality is shown as anything other than a British Citizen, must contact your nearest Czech Embassy to determine whether you require a visa for entry to the Czech Republic. You should have a minimum of six months’ validity on the passport when you travel in case of unforeseen emergency such as illness or arrest, which prevents you from leaving on your planned dates. HEALTH MATTERS - The British Government suggests British visitors obtain a European Health Insurance Card (EHIC) before leaving the UK. The EHIC is not a substitute for medical and travel insurance, but entitles you to emergency medical treatment on the same terms as Czech nationals. It also does not cover you for medical repatriation, on-going medical treatment or treatment of a non-urgent nature. It is therefore necessary to purchase travel insurance in addition.

CUSTOMERS WITH SPECIAL NEEDS - it is your responsibility to tell us when you book whether you have special needs or medical conditions that might affect your ability to take part in our tours. A reasonable amount of fitness is required as some walking is involved. Where possible we will make reasonable arrangements to allow your holiday to proceed, but we reserve the right to refuse a booking. Please contact us to discuss the arrangements.

INSURANCE
- it is a condition of booking that you have your own insurance

GROUP BOOKINGS - We are happy to arrange dedicated tours for groups of more than 10 people at a date of your choosing. Organisations wishing to book a dedicated tour should contact us via the enquiry form on the Contact Us page or by email to admin@czechtours.co.uk to discuss your requirements.

CHANGES TO THE PROGRAMME - The detailed programme will be sent to you, when you submit an enquiry form. We will try not to make changes to the detailed programme, but we reserve the right to make changes to the programme if ncessary.  When the change is minor, we will, if practical, advise you before your departure, but we are not obliged to do so or to pay you compensation. When the change is major, we will advise you as soon as is reasonably possible, and you will be given the option of accepting the change or withdrawing from the contract. A major change is a change in standard of accommodation, change in dates or length of stay. We cannot accept liability or pay any compensation where the changes are a result of force majeure, eg actual or threatened war, terrorist activity, industrial disputes, adverse weather conditions, epidemics, fire and all similar events outside our control.

If you wish to make changes to your programme, for example if you wish not to visit certain sites, we will try to accommodate you, but ask that reasonable notice is given. Please note that if you choose not to go on part of the tour, we will not give a refund.

DATA PROTECTION - We do not share any of your information collected through submission of the enquiry forms or emails prior to booking. Once the booking has been made we only share your information with persons responsible for your travel arrangements, e.g the hotel, or for processing your payment. The information may also provided to public authorities such as customs and immigration, if required by them. You have the right to see the information held on you. 

Bike Guided Tours

These tours are provided by Czech Tours partner - a long established bike tour company. Please note these conditions apply to guided tours with a group leader - special conditions apply to self-guided tours.

Once we have confirmed that the tour is proceeding and invoice for 20% of the total bill is issued, with the balance normally payable no later than 10 weeks before departure.
A confirmation invoice for the balance payment will be issued and sent out together with contract and any further details.
As the tour is geared to the needs and skill levels of the group the final programme is set on the first day of the tour

THE NATURE OF CYCLE TOURS
By their nature, cycle tours allow for and require substantial degree of flexibility. Therefore the outline itineraries must be taken as an indication of what each group should achieve, and not as a contractual obligation on the part of Czech Tours or our partners. Changes to the itinerary may be caused by mechanical breakdown, weather, border restrictions, sickness, or other unforeseeable circumstances.

It is a condition of joining any bike tour that you accept this flexibility, and acknowledge that delays and alterations as well as their results, such as inconvenience, discomfort, or disappointment, are possible. Our partners will always try to provide suitable alternative arrangements. If it is impossible to do so, or if a passenger is unable or does not choose for good reasons to complete an itinerary outlined for a bike tour, neither our partners nor Czech Tours are liable for supplying alternatives (excursions, accommodation, services or staff) for the period when you are not present with the group. However transportation back to Prague in these circumstances will be arranged, if you wish.

It is essential that you accept the authority of the tour leader. By making the booking you accept the leader's authority. If you commit an illegal act when on the tour, or if, in the reasonable opinion of the tour leader, your behaviour causes or is likely to cause danger, distress or annoyance to him/herself or others, our partner with the support of Czech Tours may terminate the your travel arrangements without liability.

In the event of a bicycle (whether hired or not) being lost or delayed on the outward journey, we and our partner are not responsible (financially or otherwise) for your inability to continue with your bike tour, or loss of enjoyment, unless such a loss or delay is due to negligence by our partner and/or their staff. Our partner shall endeavour to make alternative arrangements, but if this is impossible or if you are unable or does not choose for good reason to accept such changes, our partner will arrange transportation back to Prague, if you wish.

BIKE RENTAL CONDITIONS - You undertake not to misuse the bicycle and to return it with all accessories in the same condition as when you received it (ordinary wear and tear excepted). Our partner is entitled to charge for any damage caused to the bicycle during the period of hire. In the event of a breakdown, other than as a result of your misuse, our partner will do their best to get the bicycle repaired.  Notwithstanding claims for personal injury or death, our partner and Czech Tours shall not be liable for any damage or loss whatsoever, through breakdown or other defects in the bicycle or other circumstances beyond our control. Our partner reserves the right to charge the Renter for partial or full settlement of any such claim. 

You are liable to our partner with respect to all costs, claims, expenses and demands which arise directly or indirectly from use of the bicycle during the period of hire. They reserve the right to charge you for partial or full settlement of any such claim.

In the event of the bicycle being stolen or lost, our partner reserves the right to make you liable  for the replacement value of the bicycle, being not less than 500 EUR (€).

You must be over 15 and under 75 years of age, and must ensure that the bicycle is adequately secured when not in use. He or she must not use the bicycle whilst under the influence of drink or drugs, and must endeavour to immediately notify our partner in the event of breakdown or loss of the bicycle.

CANCELLATIONS - In the event of you cancelling your booking, the following scale of charges will apply when cancellation is notified by you
  • in the event of cancellation 35 or more days before the beginning of the tour - 20 % of the total tour price
  • in the event of cancellation from 34 to 12 days before the beginning of the tour - 50 % of the total tour price
  • in the event of cancellation 11 or fewer days before the beginning of the tour and in the event of absence from the tour, or in the event of being unable to complete the tour for whatever reason -100 % of the total tour price

In case of extraordinary circumstances, Czech Tours reserves the right to change the programme of the purchased tour and related services. In the event that we are unable to provide the agreed services, we will supply replacement services or secure a discount. The discount claim should be in written or email form. We will confirm the discount in writing or email.44

INSURANCE
- it is a condition of booking that you have your own insurance, which must include adequate coverage for baggage, medical expenses and the cost of repatriation, should you become too ill to continue, including helicopter rescue and air ambulance.You are required to carry proof of insurance at all times and produce it if reasonably requested by our partner's employees or suppliers. If you join the tour without adequate insurance you may not be allowed to continue on the bike tour, with no right of refund.

Please note that the tours are constructed around the needs and interests of participants so the final programme will not be set until the first day. We reserve the right to make changes to the programme if ncessary.  When the change is minor, we will, if practical, advise you before your departure, but we are not obliged to do so or to pay you compensation. When the change is major, we will advise you as soon as is reasonably possible, and you will be given the option of accepting the change or withdrawing from the contract. Tailor-made Holidays

HOW TO BOOK

After agreeing the content of your holiday, we will send you the itinerary, invoice and full terms and conditions, if these are acceptable we require a deposit of £100. At this point we will start booking your holiday.

PRICES FOR 2011/2012
The price of your tailor-made holiday is dependent on how much you want us to do. Prices start at £530 for five nights in a self-catering apartment (for up to 4 persons).
Please note: We do not provide international flights or personal insurance (see below).   

CANCELLATIONS - In the event of you cancelling your booking, the following scale of charges will normally apply when cancellation is notified by you

28 days or more - the £100 deposit
20 - 14 days before arrival 50%
13 - 7 days before arrival 75%
0 - 6 days 100%

In the event of our cancelling the tour for reasons other than force majeure, we will repay your deposit and any payment.
